Can I correct my payroll forms?
Forms 941 and 940 can be corrected after filing with the IRS. The IRS now supports electronic filing of Form 941-X for the 2024 tax year. Therefore, to correct errors on Form 941, you are required to e-file Form 941-X (Adjusted Employer's Quarterly Federal Tax Return or Claim for Refund). Suppose you filed Form 941 PR as an employee in Puerto Rico. In that case, you should file Form 941-X PR (Adjusted Employer's Quarterly Federal Tax Return or Claim for Refund (Puerto Rico Version)) to make corrections.
Unlike Form 941, there is no separate corrections form for the 940. To correct errors on amended Form 940, you are required to file another form and indicate that it is an amendment return by checking the box in the upper right corner.
For example, if you need to make corrections on a 940 return you filed in 2023, you can file another 2023 Form 940 and check the amendment return box on page 1 of the form.
