Understanding the Roles and Responsibilities of an Electronic Return Originator

What is an Electronic Return Originator (ERO)?

An Electronic Return Originator (ERO) is an IRS-approved provider that electronically submits your tax returns directly to the IRS. Unlike traditional mail filing, which can take weeks, EROs can process returns in just one or two days. This quick turnaround, combined with increased security against fraud and improved accuracy, makes using an ERO a convenient and reliable choice for filing
your taxes.

Responsibilities of an Electronic Return Originator (ERO) include:

  • Enter Details: Input the name and employer identification number (EIN).
  • Complete Part I: Check the appropriate box for the type of return, and enter the exact amounts. If the return shows zeros, enter them; otherwise, leave the field blank.
  • Firm and PIN Information: Add the authorized ERO firm name and the taxpayer’s PIN.
  • Form 8879-EMP: Provide the taxpayer with Form 8879-EMP for completion and review.
  • Sign and Date: Ensure the form is signed and dated by the authorized individual.

Note: An ERO does not have signature authority for filing Form 941. Taxpayers must sign their tax returns using approved software.


How Do Taxpayers Authorize EROs to File Their Returns?

Taxpayers can authorize an ERO to file their returns using the following forms:

  • The ERO can use Form 8879 (E-file Authorization for Employment Tax Returns) for authorization to file their clients’ 94x Series Forms (940, 941, 943, 944, or 945). The client (taxpayer) will be required to complete:

Part I:

  • Verify the type of return being filed.
  • Check the return for accuarcy

Part II:

  • Check the appropriate box in Part II to either authorize the ERO to enter your PIN or to choose to enter it in person.
  • Indicate or verify the PIN when authorizing the ERO to enter it (the PIN must be five numbers other than all zeros).

Part III:

  • Enter the ERO's Sign, and date.
  • Return the completed Form 8879-EMP to the ERO.
  • The ERO can use Form 8453 EMP(E-file Declaration for Employment Tax Returns) to “declare” the filing of 94x Series Forms (940, 941, 943, 944, or 945).
