What Is a W-3 Form?
The Form W-3 is used by employers to report combined employee income to the Social Security Administration (SSA). It is the transmittal copy of Form W-2 and serves as a summary document accompanying the W-2 forms sent to the SSA every January. This form allows the SSA to verify that all wages were reported for the previous year and that all necessary Federal Insurance Contributions Act (FICA) taxes were also reported.
Who Needs to File W-3 Form?
Employers are required to file a Form W-3 transmittal only when
filing Form W-2 when filed on paper. Form W-3 cannot be filed alone. It's important to use the correct version of the form for the corresponding tax year. For example, the 2024 version should be used for reporting 2024 taxes, even if you're working on the form in 2024.
It's important to note that employers with just one household employee must also file Form W-3. When completing Form W-3, remember to check the "Hshld. emp." checkbox in box b.

What is the Difference Between Form W-2 and W-3?
The W-2 form, also known as the Wage and Tax Statement, is given by the employer to the employee at the end of the year. This form shows the total wages earned by the employee for the year and the amount of taxes withheld from their paychecks. The W-2 form is essential because employees use it to file personal income tax returns. On the other hand, the W-3 form, also known as the Transmittal of Wage and Tax Statements, is a form that the employer submits to the Social Security Administration (SSA). It summarizes the information from all the W-2 forms issued to employees by the employer. The W-3 form is important because it allows the SSA to verify the information on the W-2 forms and ensure that the taxes have been reported correctly. Both forms are due to the SSA every year by January 31st and can be
filed electronically.
When is the Deadline to File Form W-3?
The deadline for filing Form W-3 is January 31 of the year following the tax year. This deadline applies to both paper and electronic filing. On this date, employers must submit Form W-3 and the corresponding W-2 forms to the Social Security Administration (SSA).
